Moffat Show Photography and Filming Policy
1. Purpose of this policy
Moffat Show is a public agricultural show celebrating farming, rural life, livestock, equestrian activities, trade stands, competitions, entertainment and the local community.
Photography and filming are an important part of recording and promoting the Show. This policy explains how photographs and video footage may be taken at Moffat Show, how they may be used, and how visitors, exhibitors, competitors, volunteers and others can tell us if they do not wish to be photographed or filmed.
2. Photography and filming at Moffat Show
Photography and filming may take place during Moffat Show by:
- official Moffat Show photographers and videographers;
- members of the Moffat Show organising committee;
- accredited press and media representatives;
- exhibitors, competitors, traders and visitors for personal use;
- contractors or agencies appointed by Moffat Show.
Notices will be displayed at entrances and/or around the Showground to let attendees know that photography and filming may be taking place.
3. How images and footage may be used
Photographs and video footage taken at Moffat Show may be used by Moffat Show for:
- promotion of Moffat Show and future shows;
- educational, historical and archival purposes;
- marketing, publicity and communications;
- press and media coverage;
- the Moffat Show website;
- Moffat Show social media channels;
- printed publications, programmes, posters and leaflets;
- newsletters, reports and other digital or printed communications.
Images and footage may include general views of the Showground, competitions, livestock, trade stands, entertainment, presentations, prize-givings, demonstrations, crowds and other activities taking place at the Show.
4. Legal basis for use of images
Where photographs or video footage contain identifiable individuals, Moffat Show will process this personal data on the basis of its legitimate interests in documenting, promoting and reporting on the Show, preserving the history of the Show, and communicating with the public and the rural community.
Moffat Show will balance these interests against the rights and freedoms of individuals and will take reasonable steps to ensure photography and filming are carried out respectfully and appropriately.
5. Respectful photography and filming
Official photographers, videographers, committee members, volunteers, contractors and accredited media representatives are expected to act respectfully and responsibly when taking photographs or filming.
They should:
- avoid intrusive photography or filming;
- respect people’s privacy and personal space;
- take particular care when photographing or filming children and vulnerable people;
- avoid photographing or filming anyone who has directly asked not to be photographed or filmed;
- avoid using images that may cause distress or harm;
- obtain appropriate permission before arranging posed photographs of individuals or groups;
- comply with any reasonable instructions given by Moffat Show officials.
6. Children and young people
Moffat Show recognises that extra care is required when photographing or filming children and young people.
General crowd scenes, competition images, prize-giving photographs and event coverage may include children. However, Moffat Show will take reasonable care when selecting and publishing images of children.
Where practical, consent should be obtained from a parent, guardian, responsible adult, school, club or organisation before using close-up, posed or prominently featured images of children for promotional purposes.
Children should not be identified by full name in published images unless appropriate permission has been obtained.
7. How to opt out or object
If you do not wish to be photographed or filmed, or if you do not wish images of you or your child to be used by Moffat Show, please tell us as soon as possible.
You can do this by:
- contacting the Moffat Show Secretary or organising committee in advance;
- speaking to a Moffat Show official on the day;
- telling the photographer or videographer directly at the time;
- contacting Moffat Show after the event if you have concerns about a published image.
Moffat Show will take reasonable steps to respect objections and remove or avoid using images where appropriate. Please note that it may not always be possible to avoid incidental appearance in crowd scenes, wide-angle shots, live event coverage or background footage.
8. Press, media and commercial photography
Press and media representatives may be required to register with Moffat Show before taking photographs or filming for publication.
Photography, filming or recording for commercial gain is not permitted without prior permission from Moffat Show.
Commercial photographers, media representatives, agencies and other third parties remain responsible for complying with data protection, privacy, safeguarding and media law requirements.
9. Visitor photography
Visitors are welcome to take photographs and short videos for personal use, provided this does not interfere with the enjoyment, safety or privacy of others.
Visitors must not:
- obstruct competitions, walkways, livestock areas, emergency routes or official photographers;
- enter restricted areas to take photographs or video;
- use drones without prior written permission from Moffat Show and compliance with all legal requirements;
- take intrusive photographs or video of individuals;
- continue photographing or filming someone who has asked them to stop;
- use images or footage for commercial purposes without permission.
10. Livestock, equestrian and competition areas
Photography and filming must not distract, alarm or interfere with livestock, horses, handlers, riders, judges, stewards or competitors.
Flash photography, drones or other equipment must not be used where this could affect animal welfare, safety or the smooth running of competitions.
Moffat Show officials may ask any person to stop photographing or filming where there is a safety, welfare, privacy or operational concern.
11. Requests for removal of images
If you believe that a photograph or video published by Moffat Show includes you or your child and you would like it removed or reviewed, please contact Moffat Show with:
- your name and contact details;
- a description of the image or footage;
- where it was published, if known;
- the reason for your request.
Moffat Show will review the request and respond as soon as reasonably possible. Where appropriate, Moffat Show will remove the image from its own website, social media channels or publications. Moffat Show may not be able to control images already shared, copied, published by third parties or used by independent media organisations.
